Member privacy and service use

This notice explains the member account, book companion and diagnostic services operated on Samson Sakoane’s website. It supplements the website privacy policy. For questions or privacy requests, use the contact form.

Your account and declared location

We collect your name, surname, email, mobile number, organisation, role where provided, area of interest, country and province/state/region. Email ownership is verified before a new account is created. A member account can be reused for the book companion, diagnostic reports, CRM assistance and SCALIM; it grants no staff or administration rights. Country and province are supplied by you, not obtained from device geolocation. They support service analytics. Aggregate geographic views suppress groups under five members.

Questions, voices and microphone use

The hosts and report guide are AI-assisted. Voices are synthetic, not recordings of Samson. Selecting a listening action requests generated speech. Pressing the microphone starts recording after browser permission. A pause of about 1.5 seconds after speech ends the recording, which is transcribed and submitted automatically as a question. You can also press Stop or type a question. Recording is limited to 60 seconds and 5 MB. The plugins do not retain raw microphone recordings.

OpenAI is the configured external AI provider. Book questions, limited recent conversation and relevant manuscript excerpts may be sent for an answer. Text is sent for speech; a first name is used in the requested personal welcome. Requested microphone recordings are sent for transcription. Report questions use the selected report and limited recent report conversation; obvious email/phone strings are removed from that report context before transmission, but this is not a guarantee that all identifying information is detected. Please avoid confidential information or details identifying other people. The complete manuscript is not uploaded.

Requests for generated answers use store=false. This does not establish zero provider retention. Provider account controls, applicable terms, agreements and hosting logs have separate retention arrangements. See the API data controls. The site operator must review its actual purposes, processing basis, provider agreements and cross-border arrangements for deployment.

What is retained

Book questions and answers stay in the current browser page; clearing or reloading removes that conversation view. Private diagnostic inputs, reports, report-guide questions and service activity are stored for up to 365 days under the current service setting. Accounts persist until removal is requested. Public prepared episode audio can be cached for up to 30 days; private answer and welcome audio are not cached on the server. Expiring service cookies, account-linked allowances and hashed network counters support access and abuse prevention. The CRM and SCALIM retain their own consented records under their configured policies.

Purchases and access

Optional purchases are handled by WooCommerce and the configured payment gateway. This plugin does not store card details. A Book Conversation Pass is a one-time, time-limited purchase without automatic renewal. A report purchase unlocks the specified saved report within its stated retention period. Confirmed payment grants access; pending or failed payments do not. Refunds or cancellation revoke the corresponding access. A previously downloaded copy cannot be recalled. Financial records follow the commerce retention policy, separately from assessment deletion. Final currency, tax and total are shown at checkout.

Your choices and safeguards

Marketing subscription is optional and separate from member registration. You may request access, correction, export or removal through the contact form. WordPress privacy tools include member profile, diagnostic reports and report questions; CRM and SCALIM have separate exporters and erasers. Backups, external provider systems and financial records need their own retention review. Microphone permission can be withdrawn in your browser.

Diagnostic ratings are self-reported, unvalidated decision-support rubrics. They do not certify competence, maturity, compliance, investment returns or any SCALIM framework. Verify important information and retain accountable human judgment. The tools do not replace appropriate professional advice.
